
Returning a deposit can get awkward. The renter wants every cent back, you've spotted a new scratch, and neither of you remembers exactly how the bike looked three days ago. Often the disagreement is less about money and more about missing facts. Good records can help.
Set a deposit that fits the unit
One flat deposit for every vehicle is simple, but it's either too high for a small scooter or too low for a car. Set it per vehicle, roughly in line with what a common repair on that unit would cost: a mirror, a panel, a lost key. Big enough to matter to the renter, small enough that it doesn't scare off a good booking.
Say what it covers, before you take it
Write down what can come out of the deposit and how it's worked out:
- Late return: a fee per hour or per day, stated as a number.
- Fuel: a price per missing fraction of a tank, not "we'll see".
- Damage: assessed against the condition photos from the hand-over.
- Lost items: helmets, keys and locks, each with a set price.
Put it in the rental agreement and say it out loud at the counter. A renter who heard the rules at pick-up knows what to expect at the return.
Record it the moment it changes hands
Log every deposit when it's collected: how much, how it was paid, and who took it. Cash in a drawer with no record is how deposits get returned twice, or never. The same goes for the return: note what was deducted, why, and what went back.
Keep deposits separate from rental income in your head and in your records. Until the unit is back and checked, that money isn't yours yet.
Settle it at the counter, with a signature
When the unit comes back, compare it against the pick-up photos with the renter standing there. Work out the charges, take them from the deposit, return the rest, and have the renter sign for what they received. A signed slip turns "I never agreed to that" into a closed conversation.
