A five-minute check-in routine for every rental

"That scratch was already there." Every rental shop has heard it, and without a record of the hand-over it's your word against theirs. The fix isn't a longer form. It's a short routine you do the same way, every time, before the keys leave your hand.

1. Check the renter

Look at the driver's licence and a valid ID, make sure the licence covers the vehicle type, and keep a copy on record. If the renter has rented from you before, check how the last rental went. Thirty seconds here saves a lot of trouble later.

2. Photograph every side

Take a photo of the front, the back, the left and the right, plus a close-up of any existing damage. Do it with the renter watching, and show them the marks you've found. Photos taken together at the counter give you both the same record to look back on.

3. Write down the fuel and the mileage

Note the fuel level (in eighths is easiest) and the odometer reading. These two numbers answer two common return-day questions: how far it went, and how much fuel it needs.

4. Walk through the rules, then sign

Confirm the return time, the fuel rule and the late fee, then have the renter sign the agreement. Say the return time out loud. "Back by 6 PM on Tuesday" sticks better than a date on paper.

Do the check-in the same way for every renter, including regulars. The routine protects them as much as it protects you, and it's only fair if it's the same for everyone.

At the return, do it again

Take the same four photos, read the fuel and the odometer, and compare. If there's new damage, you'll both see it side by side with the pick-up photos. Late time and missing fuel become simple sums instead of a debate.
